In the world of B2B SaaS, "using your own product" isn’t just a slogan. It’s a credibility test.

At Rocketlane, we don’t just build for onboarding, implementation, and CS teams, we are those teams. That means our customer-facing teams are power users of Rocketlane.

At Propel25, Vishnu Prasad (Head of CS) and Monica Madan (Manager, Support & Education) took us behind the scenes to share how Rocketlane runs its own onboarding and service delivery using Rocketlane.

The goal? Share five fantastic workflows that help Rocketlane deliver consistent, proactive, and high-impact experiences, and show how you can use them too.

Workflow 1: From sales to onboarding, zero data drop

Challenge: Handoff gaps between sales and onboarding risk a rocky start.

Solution: Rocketlane integrates directly with your CRM to trigger automatic project creation the moment a deal is marked "closed-won."

But Rocketlane takes it further:

  • Using dynamic templates, the implementation team gets a project tailored to customer's scope.

  • Forms and data pills collect and insert key details from sales into the project plan.

  • Automation ensures task owners and timelines are set instantly.

Benefits:

  • No more “start-over syndrome” for customers

  • Smooth, professional kickoff experience

  • Alignment from day one

We want customers to experience a red carpet onboarding. That means being prepared before the kickoff, not scrambling after. This workflow scales easily and ensures consistency even at high volumes, a must-have for growing teams.

And it brings internal confidence, too. Project managers don’t need to ask for customer context. Sales isn’t scrambling to hand off details. Everyone works from a single source of truth.

Workflow 2: milestones that actually measure time-to-value

Challenge: Without clear metrics, how do you know if onboarding is efficient?

Solution: Rocketlane's Key Events and Intervals feature helps Rocketlane:

  • Define milestone benchmarks (e.g., kickoff → data migration completed)

  • Track actual time taken for each project

  • Set up alerts when milestones are delayed

Use case: For Rocketlane's own onboarding, data migration is a key milestone. By benchmarking expected timelines and tracking actual performance, the team:

  • Identified delays in prerequisites

  • Added guardrails and alerts

  • Improved TTV by tackling bottlenecks proactively

Milestones come in all shapes and sizes. What matters is tracking them consistently, comparing plan vs. actual, and learning from them.

Benefits:

  • Objective measurement of time-to-value

  • Better retrospectives and process improvements

  • Customer expectations stay aligned

Rocketlane uses this insight to continuously optimize delivery playbooks. Interval data improves retrospectives, sharpens customer comms, and fine-tunes planning.

Think of it like Google Maps for onboarding, planning, tracking, and improving every journey.

Workflow 3: governance on the go with Slack and mobile nudges

Challenge: By the time a customer escalates, it’s too late.

Solution: Rocketlane uses native automations to power an internal Slack channel called #onboarding-escalations, where:

  • Delays in key milestones trigger alerts

  • Project owners are tagged with action items

  • Escalations are preempted, not reacted to

We don’t wait for customers to ask for updates. Our system flags delays before they become problems.

Benefits:

  • Greater transparency without micromanagement

  • Faster turnaround on issues

  • More confident and responsive delivery

Instead of reviewing red projects retroactively, Rocketlane flags them proactively. And this creates a culture of offense, not defense. Delivery managers and CSMs get in front of risks, rather than react to them.

It’s also completely self-managed, no engineering help needed.

Workflow 4: a dashboard that gives leaders instant clarity

Challenge: As Rocketlane grew, leadership needed visibility across all projects, without chasing down data.

Solution: Rocketlane built a Governance Dashboard that:

  • Categorizes projects by health, status, and delay risk

  • Highlights stale projects or ones needing attention

  • Powers weekly reviews and prioritization

Each week begins with a scan of this dashboard, informing actions for the team. Each week ends with updates logged in Rocketlane, creating a closed-loop system. This isn’t just a reporting dashboard. It’s a compass for our team..

Benefits:

  • Smarter conversations in leadership reviews

  • Focus where it matters

  • Delivery trends at a glance

Rocketlane didn’t always have this. But with scale came a need for structured, real-time visibility. The Governance Dashboard became the team’s north star.

No more asking PMs for updates. No more chasing Slack threads. It’s all right there.

Workflow 5: a customer portal that creates total clarity

Challenge: Customers want to know where they stand, without chasing updates.

Solution: Rocketlane uses its Customer Portal to offer:

  • Branded, website-like experience

  • Real-time visibility into project plans, files, and support links

  • Links to async resources like Academy and Help Center

Clients can see their journey unfold, access all resources, and book time with their PM—all in one place. Our portal isn’t just a Gantt chart. It’s a window into their journey, with context, branding, and trust baked in.

Bonus features:

  • Book meetings from the portal via Calendly links

  • Embed video libraries, documentation, and community links

  • Maintain branding across every touchpoint

This shifts the delivery model from reactive to co-owned. Customers feel in control. And CSMs can point them to one source of truth.

Bonus: How Rocketlane uses AI to fill in the gaps

Challenge: Implementation managers juggle conversations, note-taking, and documentation.

Solution: Rocketlane's AI-Fills acts as a digital intern:

  • Joins calls and captures context

  • Summarizes action items and requirements

  • Let users add AI-generated summaries into project tasks, notes, or customer updates with one click

Documentation is often the most-hated task. With AI-Fills, your notes, next steps, and insights are ready before the meeting ends.

Impact:

  • Stronger follow-ups, fewer dropped balls

  • Faster ramp for new team members

  • Better internal alignment

Now, every call becomes a source of rich data. Every implementation manager gets superpowers. No more toggling between call notes and project plans, AI fills in the blanks.

And because Rocketlane AI understands the structure of your delivery workflows, these insights don’t live in isolation, they get surfaced in the right place, at the right time.

This is the future of PSA: smart, contextual, and human-first.

Final takeaways for PS and onboarding teams

  1. Automate the basics. Use CRM integration + templates to save hours.
  2. Measure what matters. Milestones, not feelings, drive time-to-value.
  3. Proactive beats reactive. Slack nudges and alerts help you stay ahead.
  4. Visibility drives confidence. For both leadership and customers.
  5. Let AI do the grunt work. Focus on the human part of onboarding.
  6. Design for today, but build for tomorrow. What works at 10 projects won’t work at 100. Build with scale in mind.
  7. Your best workflows are already in use. Listen to your team. Systematize what's working. Learn from what isn't.
  8. Close the loop every week. Dashboards and alerts are powerful, but only if you act on them.
  9. Stay human. Your onboarding isn't a checklist. It's the start of a partnership.
